Why B. Braun chose Witco

B. Braun Group scaled a unified workplace experience across Europe with Witco

B. Braun, a leading global medical device and pharmaceutical company founded in 1839, operates in 196 countries to protect and improve the health of people around the world. With a diverse real estate portfolio spanning small local offices to massive international headquarters, managing the employee experience presented a unique challenge.

They needed a single, reliable workplace platform that could adapt to the unique constraints of every country, without forcing employees to adopt complex new habits.

Why Witco: modularity & frictionless adoption

When transitioning from Lotus Notes to Microsoft Outlook, B. Braun sought a future-proof solution to manage meeting room booking. Witco platform stood out for two critical reasons:

  1. Unmatched modularity
Not every site needs the same features. Witco allows B. Braun to deploy just a room-booking system for a small office, while seamlessly rolling out a full suite of services (guest management, digital signage, incident reporting) for larger headquarters.
  1. Deep integration
It works natively with Microsoft 365. Employees can book rooms and desks directly from Outlook, mobile, or desktop without learning a new tool.
"With Witco we can be really modular, with a portfolio of use cases that a small site can ask for, or a large one... People can book from Outlook without knowing it will have a side effect all around the platform. In terms of adoption, it's great." Romain Biechler, System Engineer at B. Braun

The solution: a single gateway to the workday

B. Braun didn't just digitize room and desk booking, they transformed the entire workday journey.

1. Smart hardware for every office space

Managing over 100 meeting rooms requires the right hardware. Mounted at the door of each room, the RoomPad interactive screens do far more than simple digital meeting room signs:

  • they show who is expected and the meeting topic,
  • they enable on-the-fly booking when a room is free,
  • they support wayfinding to help people and visitors navigate,
  • they display corporate content when in standby mode,
  • and they let anyone report an incident on the spot.

For quieter spaces like phone booths where large panels are unnecessary, they rely on BoxPad discreet mini-tablets, whose core features are:

  • instant booking,
  • arrival confirmation for bookings made in advance,
  • reservation extension or cancellation,
  • a color LED that shows availability,
  • a universal badge reader to authenticate.

2. Reinventing parking & commuting

In constrained locations, B. Braun turned parking into a fully bookable resource. They even made their corporate fleet of electric vehicles and EV charging stations available in the app, allowing employees to reserve cars just like they would a meeting room.

3. Digitalizing the mailroom

Manual parcel management was a bottleneck. With Witco, B. Braun digitized the entire flow: incoming letters and packages are scanned via barcode, tracked upon arrival, and recipients are instantly notified for smooth, recorded pickups.

4. Keeping everyone informed through digital meeting room signs

Throughout the buildings, digital signage panels keep everyone in the loop: key company information, internal and group-wide news, product announcements, upcoming events, etc.

The interactive floor map available on all RoomPad panels helps people navigate the buildings thanks to wayfinding capabilities, and view space availability at a glance. B. Braun also uses the floor map to place points of interest, so anyone can quickly locate emergency kits or fire extinguishers.

The results: a proven playbook for global rollout

After eight years of continuous partnership, the deployment is a great success. Starting in France across four locations, the platform has successfully rolled out to Hungary, Romania, Sweden, Estonia, and the United Kingdom.

"What's really important is to gather the main stakeholders around the same table: IT, HR, facility management, and corporate communication. Then, align on what each country actually needs.”
Romain Biechler

The secret to this global scale? Centralized control paired with local alignment. Witco's Device Management software allows B. Braun's IT team to monitor and update all hardware remotely, ensuring high stability.

Moreover, B. Braun can rely on a team of experts to handle their requests and resolve any incident in a timely manner, but also to discuss upcoming feature needs, align on what’s possible in the near future and what can come next.

"It's a strong solution, accessible from all our devices, reliable, and it fills the use cases we have. The overall experience when it comes to stability with Witco is really high."
